Clwstwr provides funding and support for creative companies in Wales.

Clwstwr which is the Welsh word for Cluster was formed by Cardiff University, Cardiff Metropolitan University and the University of South Wales (USW) to support the creative sector in Wales.

The Challenge

Applicants normally apply for funding, and once accepted, project managers (producers) regularly check in with applicants to ensure the project is on track until completion.

The organisation was looking for CRM to help capture specific data from the applicant, manage the lifecycle of applicants, and serve as a tool for project managers to use as a replacement for excel.

The Solution

We engaged with the team at Clwstwr to collect the requirements and define a solution that was satisfactory.

Once the solution design was accepted by Clwstwr, we implemented the solution using Hubspot.

First applicants were migrated to Hubspot CRM and tagged with the relevant identifiers for easy segmentation.

Hubspot was then integrated with the Website, Outlook, Qualtrics, Eventbrite, and Zoom.

Next, the Sales and Marketing teams were trained on the use of Hubspot.

Project managers, Marketing and Finance, and all stakeholders have an end-to-end view of where applicants and projects are at any given time.
There is no more guessing as to how much an applicant has engaged with Clwstwr before or during a funding round.

Project Managers (producers) are much more efficient because there is less paperwork to fill out, project managers can switch between Hubspot desktop or Mobile app when meeting with applicants and the data is transferred seamlessly.
